Plain English summary: We collect only what we need to run the app. We never sell your data. You can delete your account and all your data at any time. We store data in the UK and EU.

InspectCube is operated by Deca Cube Ltd, company number 17153306, registered at 71-75 Shelton Street, Covent Garden, London WC2H 9JQ. We are registered with the Information Commissioner's Office (ICO) under reference ZC127083.

2. What data we collect

We collect the following categories of data when you use InspectCube:

Account data: your name, email address, role, and trade.
Project data: inspections, snags, reports, work tickets, drawings, photos, notes, signatures, and checklist answers you create or upload.
Device data: device type, operating system version, and app version.
Usage data: anonymised data about how you use the app, used to improve the service.
Photos: images you capture or upload within the app as part of inspections and reports.

3. How we use your data

We use your data to:

Provide and operate the InspectCube service.
Send you product updates and important service communications (you can opt out of marketing at any time).
Improve the app using anonymised usage data.
Comply with our legal obligations.
Resolve disputes and enforce our terms.

4. Legal basis for processing (UK GDPR)

We process your personal data under the following legal bases:

Contract performance: processing is necessary to deliver the service you have signed up for.
Legitimate interests: to improve and secure the service, and to communicate with you about it.
Legal obligation: where we are required to retain data by law (e.g. financial records).
Consent: for optional communications such as marketing emails, where you have opted in.

5. Where we store your data

Your data is stored using Supabase (hosted on AWS infrastructure in the EU) and Vercel. Both providers are GDPR compliant. Your data does not leave the UK or EU.

6. How long we keep data

We retain your data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days. Work ticket data may be retained for up to 7 years in order to comply with HMRC financial record-keeping obligations.

7. Sharing your data

We use the following third-party service providers to operate InspectCube: Supabase (database and file storage), Vercel (hosting and delivery), and Stripe (payment processing). These providers act as data processors on our behalf and are bound by appropriate data processing agreements.

We do not share your data with your employer or main contractor without your explicit consent. Any shared links or exported reports are shared at your own discretion.

8. Your rights under UK GDPR

You have the following rights in relation to your personal data:

Access: request a copy of the personal data we hold about you.
Rectification: ask us to correct inaccurate or incomplete data.
Erasure: request deletion of your personal data.
Portability: receive your data in a structured, machine-readable format.
Objection: object to processing based on legitimate interests.
Restriction: ask us to restrict processing in certain circumstances.

9. Cookies

We do not use advertising or tracking cookies. We use a single session cookie to keep you logged in. We do not use any third-party analytics cookies.

10. Photos and camera access

Camera access is only requested when you choose to take a photo within the app. Photos are uploaded to secure storage and are never accessed without a direct action on your part.

11. Children

InspectCube is a professional tool intended for adults working in the construction industry. We do not knowingly collect data from anyone under the age of 18.

12. Changes to this policy

If we make material changes to this Privacy Policy, we will notify you by email or via an in-app notification. Continued use of InspectCube after changes take effect constitutes your acceptance of the updated policy.
